How the Time Card Calculator Works

The Time Card Calculator computes your daily and weekly work hours by calculating the difference between clock-in and clock-out times, then deducting break durations. It supports overnight shifts — if your clock-out time is earlier than your clock-in time, it assumes you worked past midnight. For simpler single-day calculations, see our hours calculator, or use the time calculator for general time arithmetic.

Overtime is calculated on a daily basis. Any hours worked beyond the overtime threshold (default: 8 hours/day) are counted at the overtime rate (default: 1.5×). You can customize the hourly rate, overtime multiplier, and overtime threshold to match your employer's pay structure.

The calculator provides a complete weekly summary including total regular hours, overtime hours, and a pay breakdown showing regular pay, overtime pay, and gross pay. All calculations happen in real-time as you enter your time data.

Need a biweekly time card or hours in decimal format? Select 2 Weeks and enter both weeks in the same time card; the calculator combines all 14 days automatically. Daily and period totals use decimal hours (e.g., 7.5 instead of 7:30), which is the standard format payroll systems expect. To deduct lunch, enter the break duration for each day.

Frequently Asked Questions

How is overtime calculated?

Overtime is calculated per day. Any hours exceeding the overtime threshold (default 8 hours) are counted as overtime hours. These hours are paid at the overtime rate, typically 1.5× the regular hourly rate.

Does the calculator handle overnight shifts?

Yes. If your clock-out time is earlier than your clock-in (e.g., in at 22:00, out at 06:00), the calculator treats it as an overnight shift spanning midnight and correctly calculates 8 hours.

Can I change the overtime threshold?

Yes. The default overtime threshold is 8 hours per day, but you can change it in the Pay Settings section. Some employers use different thresholds based on local labor laws or company policy.

How is gross pay calculated?

Gross pay = (regular hours × hourly rate) + (overtime hours × hourly rate × overtime multiplier). For example, 8 regular hours at $15/hr plus 2 overtime hours at 1.5× = $120 + $45 = $165.

How do I deduct my lunch break from my time card?

Enter your lunch or meal break duration in minutes in the 'Break' field for each day. For example, a 30-minute lunch reduces an 8.5-hour shift to 8 hours of paid time. The calculator subtracts the break from total time between clock-in and clock-out automatically — you don't need to subtract it yourself.

How are hours shown in decimal format?

Hours are displayed in decimal format throughout the calculator (e.g., 7.5 hours instead of 7:30). Decimal hours are what most payroll systems expect, so you can copy them directly to a timesheet or invoice. To convert minutes to decimal: 15 min = 0.25, 30 min = 0.5, 45 min = 0.75.

Can this be used as a biweekly time card calculator?

Yes. Select 2 Weeks at the top of the time card and enter both weeks. The calculator shows all 14 days and combines the hours, overtime, and gross pay automatically.

Is this the same as a time clock calculator?

Yes — 'time card calculator,' 'time clock calculator,' and 'punch clock calculator' all refer to the same tool: enter your clock-in and clock-out times for each day, deduct your break, and get total hours plus gross pay. The terminology varies by industry and employer, but the calculation is identical.
